Refund Policy

ACCESS International must be notified in writing about any changes, cancellations, and withdrawals. In all cases, the Application Fee and Homestay Placement Fee are non-refundable. Refunds to students who enrolled through a representative must be collected from the representative. ACCESS cannot be responsible for any additional fees charged by local agents (including, but not limited to, application, consultation, or cancellation fees).

REJECTED VISA: Students to whom admittance to Canada has been refused are entitled to a refund of all prepaid fees. In order to obtain the refund, students must notify the school in writing and return the original Letter of Acceptance and original letter of rejection from the Canadian immigration authorities. The school must be notified in writing at least 14 days before the course start date or a CAN $200 / US $150 cancellation fee will be charged, and one month of homestay rent will be charged. If the school is notified of a rejected visa on or after the course start date, a refund is given according to our policy (please see “On Or After Course Commencement” below).

POSTPONEMENT: Regardless of cause, students who wish to postpone their start date must contact ACCESS International in writing as early as possible. If this notification does not reach the school 14 days before the original start date, an administration fee of CAN $ 150 / US $100 will be charged.

CANCELLATION:**

Before Course Commencement:
If a student provides written notice of withdrawal to ACCESS International at least 4 weeks prior to course commencement, a full refund of course fees will be given.

If a student provides written notice of withdrawal to ACCESS International less than 4 weeks prior to course commencement, and before the course commencement, a full refund of course fees will be given, less a cancellation charge of CAN $300 / US $200.

On Or After Course Commencement:

  • If a student who is enrolled in a 12-week session (or less) cancels on or after the start date, no refund is given.
  • For courses longer than 12 weeks, if a student cancels when less than 20% of the course is completed, a 50% refund will be given.
  • If a student cancels when 20% or more of the course is completed, no refund will be given.

There will be no refund for late arrival, failure to arrive, early departure, or early dismissal.  In rare cases, when the school is unable to provide a general course placement, a full refund will be issued. No refunds will be given for instances when ACCESS is unable to provide a placement in an optional course (i.e. TOEFL prep., TOEIC prep., Business English, Pronunciation & Listening, Conversation Skills, Canadian News & Culture).

** In rare situations beyond our control, such as war, acts or threats of terrorism, health alerts, and natural disasters the refund policy for both courses and homestay will not apply. In these situations, there will be no refunds issued and only postponement will be permitted.

COURSE CHANGES: Refunds on prepaid tuition will not be given to students requesting course changes.

HOMESTAY: If a student postpones or cancels less than 14 days before first scheduled day of homestay, one full month of homestay rent will be charged. Students who withdraw from ACCESS are also required to withdraw from our homestay program. Postponements and cancellations must be received in writing.

Homestay fees are to be paid in full to the school on the first day of classes. No refund will be given for the remainder of the first 4-week period if a student withdraws from the homestay/school after rent payment is made.

Students who wish to withdraw from homestay after it has started must give the school 30 days advance written notice. A cancellation charge of CAN $150 / US $100 will apply, and all prepaid homestay fees for subsequent months will be refunded. If less than 30 days advance written notice is given, the following month of homestay rent will not be refunded.

Conditions

  1. Students are responsible for obtaining their own visas or documents allowing them to enter and remain in Canada.

  2. Students are required to submit the full payment of tuition and homestay fees before beginning their studies.

  3. Students must respect the school’s regulations: e.g. English only policy, participating in classes, doing homework regularly, attending scheduled classes, etc. Students must attend at least 80% of all classes to receive the ACCESS International English Language certificate of completion. Students who are absent from more than 50% of their classes may be dismissed from the school without refund.

  4. ACCESS International will not accept responsibility for any money or other valuables lost or stolen.

  5. ACCESS International will not be responsible for loss, damage, or theft of any student’s personal belongings.

  6. Although ACCESS International strives to maintain the originally planned activities, schedules, and services, the program is subject to change due to special circumstances.

  7. ACCESS International, or its appointed agency, will select a family from those available, based on the information provided on the homestay application form, and cannot guarantee that all personal preferences will be met.

  8. Students must respect all rules set by the host family.

  9. Any willful damage to ACCESS or host family property will be charged to the student.

  10. ACCESS International reserves the right to dismiss, without refund, any student who, after being warned and asked to correct his/her inappropriate behaviour continues to act in an inappropriate manner.

  11. ACCESS International will not be held liable for any personal accident or injury resulting from participation in activities related to our program or homestay.

  12. Health care in Canada is expensive. It is highly recommended that students purchase medical insurance prior to arrival in Canada. If a student does not arrive in Canada with medical insurance, he or she will be required by ACCESS to purchase Canadian medical insurance with the assistance of an ACCESS staff member.

  13. Students must abide by the conditions outlined above. ACCESS International reserves the right to dismiss, without refund, any student failing to abide by these conditions.

Activitiy Waiver

Exclusion of Liability - Assumption of Risk

As a condition of involvement in all activities at ACCESS International, I assume all risk of person injury, death, or property loss resulting from any cause whatsoever, including but not limited to the inherent risks of these activities, use of equipment, collision with man-made or natural objects or other students, travel within or beyond designated boundaries, or negligence, breach of contract, or breach of statutory duty of care on part of ACCESS International and its employees, directors and agents. I agree that ACCESS International and its employees, directors and agents shall not be liable for any such personal injury, death, or property loss and release ACCESS International and its employees, directors and agents and waive all claims and respects thereto. This includes all transport to and from these activities arranged by ACCESS International and its employees, directors, and agents.

This means that you are fully responsible for anything that happens to you during activities organized by ACCESS. You do not have to do any activity you do not want to. It is your responsibility to ensure you have adequate insurance coverage.
